General Cooperation

Hefei ATOP supports international buyers with product sourcing, technical coordination, order execution and shipment planning for wood materials, industrial consumables, equipment and factory projects. The following answers explain the general information buyers may need before starting an enquiry or placing an order.

What information should I provide when requesting a quotation?

Please provide the product name, intended application, technical specifications, estimated quantity, destination country or port and expected delivery time. Drawings, photos, samples, existing product data or performance requirements are helpful for customized products. For equipment and factory projects, production capacity, workshop dimensions, existing machinery and site conditions may also be required.

Can ATOP support customized product sourcing?

Yes. ATOP can coordinate customized sourcing based on specifications, drawings, samples, performance requirements and target applications. Before quotation, the team reviews the requested product, possible manufacturing partners, minimum order quantity, technical feasibility and delivery requirements. Final specifications, responsibilities and acceptance criteria should be confirmed in the quotation, proforma invoice or contract.

Are samples available before placing an order?

Sample availability depends on the product. Standard samples may be available for certain materials, coatings, adhesives or consumables, while customized samples may require preparation time or a sampling charge. Courier costs, sample specifications, preparation time and testing requirements are confirmed before dispatch. A sample approval does not replace the final production specifications agreed for the order.

How does the quotation and order process work?

The process normally begins with an enquiry and requirement review. ATOP then clarifies technical details, coordinates suitable products or manufacturing partners and prepares a quotation. After specifications, price, payment terms and delivery conditions are confirmed, the order proceeds through production or procurement, documentation, agreed quality checks, packing and shipment coordination.

Which trade and payment terms are available?

Available terms depend on the product, order value, destination and project requirements. Common international trade terms may include EXW, FOB, CFR or CIF. Payment arrangements may include T/T or L/C where applicable. The final Incoterm, payment schedule, currency, bank charges and document requirements must be confirmed in the official quotation or contract.

How is the delivery time confirmed?

Lead time depends on product availability, customization, order quantity, production schedule, packaging and destination. Standard materials may require less preparation time than customized equipment or production-line projects. ATOP confirms the estimated production and shipment schedule after the technical requirements and commercial terms have been agreed. Delivery estimates should be calculated from the agreed payment or order-confirmation date.

Can different products be combined in one shipment?

Different products may be consolidated when their production schedules, packaging, loading requirements, export documents and transport conditions are compatible. Before confirming a combined shipment, ATOP reviews cargo dimensions, weight, container utilization, chemical or safety restrictions and supplier locations. Consolidation feasibility and any additional handling costs are confirmed for each order.

How are quality requirements confirmed?

Product specifications, samples, drawings, packaging requirements and acceptance criteria should be agreed before production or procurement. Depending on the order, quality coordination may include sample confirmation, technical data review, production communication, packing inspection or third-party inspection when agreed. The applicable inspection method and responsibility should be written into the quotation or contract.

What documents can be provided for international shipment?

Available documents depend on the product, destination and agreed trade terms. They may include a commercial invoice, packing list, bill of lading, certificate of origin, technical data sheet, safety data sheet or other product-specific documents. Buyers should communicate destination-country requirements before order confirmation so document availability can be checked in advance.
